AGM 2023 Online Registration

The 55th Annual General Meeting of Dundalk Credit Union Limited will be held on Wednesday, 13th December 2023 commencing at 7pm. Our AGM this year will be facilitated on Zoom.

In order to participate in AGM 2023, you will need to follow these instructions:

Step 1  You must register to attend our AGM 2023 by 11 am on 8th December 2023.

Step 2  Once we receive your registration,  Dundalk Credit Union will confirm that we have received your registration using the email address you use to register.

Step 3  Based on the information you provide to us, we will verify you as a member.  Please note that only one registration is permissible per email address. For households with more than one member, each member must register separately using their own email address.  Without a verified email address, a member will be unable to vote at AGM 2023.  One member, one email, one mobile device, one vote.

Step 4  On or before 12th December 2023, you will receive a Zoom invitation, sent to the email address you provide in the registration process. Please check your SPAM folder for the invitation as this is an auto-generated email and may not go straight to your inbox.  This invitation will be sent from our AGM hosting partner AVC.

Step 5  Members are asked to submit any questions or observations they may have in advance of the AGM. This can be done as part of the AGM registration process or by emailing info@dundalkcu.ie. Questions can be submitted up to the registration closing date (see step 1) and we will endeavour to answer these at the meeting.

Step 6  You can log on to the AGM, by clicking on the link provided in the invitation you will receive by email several days before the AGM. You will receive a reminder of the AGM, by email, within 24 hours before it is due to begin. Please check your SPAM folder for the invitation as this is an auto-generated email and may not go straight to your inbox.  We suggest you log on about 15 minutes before the start time of 7 pm on Wednesday 13th December 2023.  If you are not familiar with Zoom, you will find this short tutorial helpful: https://support.zoom.us/hc/en-us/articles/360034967471-Getting-started-guide-for-new-users

Step 7  It is important that you note the invitation you receive is specific to you and can only be used on one device. If you do not register personally and join the AGM through a shared registration link, you will not be counted as attending the AGM and will not be able to vote.

Step 8  When you log on you will be made aware that you are ‘waiting’. When the Chair starts the meeting, you will be able to see and hear the meeting.  Please select “Join with Computer Audio”, so that you will be able to see and hear the Chair and any persons presenting.  We recommend that while you are waiting, you should use the opportunity to test the sound on your computer so you can be sure it’s working and at the right volume for you to follow the proceedings.

Step 9  For everyone’s comfort, all non-presenting participants will be ‘muted’ during the meeting.

Step 10  As part of the agenda you will be asked to vote.  Elections will be done by electronic polling.  A poll will appear on your screen, click on your answer and press submit. You will be given sufficient time to cast your vote (the length of time allowed will be advised at the meeting). The poll will close after that time and the result will be announced by the Chair.

Step 11  To assist with the minutes, our AGM will be recorded.  When the matters of the AGM are concluded, the Chair will end the AGM and close the Zoom link.

Frequently Asked Questions

What time should I log on to Zoom at on the evening of the AGM?

We recommend that you log on to Zoom 15 minutes before the AGM starts. The AGM will start at 7 pm on Wednesday 13th December 2023. When you log on you will be in a waiting room until the AGM starts.

 

I have never used Zoom before, what do I do?

I don’t have an email. How do I set one up?

You can create an email very simply using GMAIL – https://accounts.google.com/signup/v2/webcreateaccount?flowName=GlifWebSignIn&flowEntry=SignUp

 

Will my camera be on? Will people be able to see me?

No. Your camera will not be on during the AGM, you will be able to see the speakers and the screen but you will not be visible to anyone.

 

Will people hear me during the AGM?

No. Your microphone will not be on during the AGM. For everyone’s comfort, all non-presenting participants will be ‘muted’ during the meeting.

 

How do I submit a question?

You can submit a question when you are registering to attend the AGM. Alternatively, you can submit a question in advance of the AGM by emailing your question to info@dundalkcu.ie before Thursday 7th December 2023 at 5 pm. You will also be able to submit questions via the Q&A Function on Zoom. Your question will be private and visible only to Dundalk Credit Union and not to attendees.

 

How do I vote during the meeting?

Voting will be carried out by electronic polling. At the time of voting during the AGM a poll will appear on your screen. You then click on your preferred choice/choices and press submit. You will be advised of the time allocated to cast your vote.

 

Can we watch the AGM on one device?

Yes of course you can watch the AGM on one device. However, this will mean only the member whose email is attached to that AGM Zoom invite can vote. We would encourage all members to register individually for the AGM and then to access the AGM via their own computer, laptop, phone, or tablet.

 *A recording of the Hybrid AGM 2023 will be held by Dundalk Credit Union for a period of not more than 15 years for the purposes of financial auditing, research, and promotion of the Credit Union.
